The three email frameworks detailed below have been deployed across multiple client accounts this year. They represent operational approaches built for specific conversion objectives, not universal solutions.

This reply-based email format mimics the appearance of a manually sent mobile message.
I first tested this format over a decade ago at a previous company. The list contained approximately 400,000 contacts. The objective was to create inbound conversations for the sales team.
The structure was minimal. Subject line: all lowercase, one to two words. Body: short, casual, formatted as if typed on mobile.
Example: “hey [name], are you still interested in [product]? – [name]. Sent from my iPhone.”
Multiple line breaks followed to push the footer information down the page. The white space created visual authenticity.
After deployment, over 50,000 replies arrived within 24 hours.
That volume created an operational crisis. The COO expressed frustration because we hadn’t built capacity for the response rate. Every department stopped their scheduled work. Real estate, tax, shipping, video, marketing—all hands logged in to sort replies for three consecutive days.
Their task was to filter genuine responses and forward them to sales representatives.
The outcome justified the chaos. A significant percentage replied affirmatively. Those people converted.
We now include this exact email template in our emergency revenue SOP, available inside Master Internet Marketing and Inner Circle.

We advise clients to deploy this sparingly. Broadcasting it to your entire list weekly will erode effectiveness. Use it in sequences. When someone opts in or books a call, they eventually receive this email. It converts because it doesn’t resemble marketing.
According to HubSpot’s research on email engagement, personalized and conversational emails consistently generate higher open and reply rates than traditional promotional formats.
This second reply-based email is called the “where did we lose you” email.
Send this from the salesperson who previously engaged the lead or from a manager who touched the account. Deploy it when a lead has stopped responding or has been marked lost in your CRM.
Subject line, all lowercase: “feedback?”
Body: “hey [name], wonder if you can send me one to two sentences on where we lost you. would appreciate anything you can tell me so i can improve our systems. thank you.”
This email generates two distinct response types.
First, you receive actual feedback. They explain what failed. That information becomes actionable.
Second, and more frequently, they clarify that you didn’t lose them. They explain their current situation. They describe where they are in the buying process. They re-engage.
Prospects who intended to purchase but didn’t realize they appeared disinterested will correct the misperception immediately. They respond with “oh no, you didn’t lose me. here’s what’s happening.” Then they re-enter your sales process.
This framework succeeds because it removes pressure. You’re requesting help, not advancing a sale. Research from Gartner on buyer behavior demonstrates that buyers often disengage when they feel pressured, but respond when given space to clarify their position.
This value-dense email belongs to what we call backend selling systems, designed to support show rates and close rates in call funnels and webinar funnels.
Rather than sending only reminder emails, we send value-forward content. One of the top performers this year has been the due diligence email.
The concept is straightforward. Show leads the data they’ll discover anyway. Display your refund rate, your dispute rate, your negative reviews. Then provide context.
I apply this to my own programs. I pull up my Stripe account and show my dispute rate. Currently it sits at 0.36%. That’s across 2,721 total customers and 7,521 successful payments. Total disputes: 27.
I also explain the spikes. Several occurred in 2017 when I sold lower-ticket products and didn’t geo-fence a specific country. That country demonstrated a pattern of chargebacks. We still receive buyers from there who are excellent, but we had to adjust our approach.
In the email, I break this down. I include screenshots. I describe what happened when issues arose.
Example: One member joined my flagship program. He wanted to train his marketer through the material. I explained he needed to participate in the training as well. He agreed.
Three weeks later, he informed me he was terminating the marketer. I suggested he move down to my 7-week live comprehensive training instead because he didn’t appear ready for the premium material. He insisted he would complete the training.
Two weeks after that, he asked me where a pixel goes on a webpage. That’s a foundational question. I told him he wasn’t at the appropriate level for the premium group. I refunded the difference, retained $5K, and moved him to the other program with his consent.
I include that story in the due diligence email. It establishes trust rapidly because it’s transparent.
When running paid traffic, you don’t have months to build trust. You need to compress the sales cycle. This email type accomplishes that. According to research from Edelman on trust and transparency, brands that openly share both positive and negative information build credibility faster than those that only highlight wins.

This combination email is both reply-based and value-dense. We call it the manager close.
The format: a different person, positioned as a manager or superior, reaches out to the lead. They ask what it would take to close the deal.
Subject line, lowercase: “what do we need to do?”
Body: “hey [name], i’m [manager name]. i saw you were talking to [rep name]. what do we need to do to get this done?”
This works because it provides the lead with a fresh contact. Perhaps they were frustrated with the representative. Perhaps they had a question the representative didn’t answer. Perhaps they simply need someone who feels more senior to make them comfortable.
Consider this example. I purchased several cars last year. One dealership created friction. The sales representative wanted us to come in. I requested they send the representative to us or send paperwork electronically. They treated that as problematic.
Then a manager texted me. He asked “what do we need to do to close this?” I explained the issue. He responded “done, I’ll send the rep in an Uber. Give me the address.” Deal closed.
Sometimes a lead simply needs a different voice. This email provides that. Studies on sales psychology from Harvard Business Review suggest that introducing a new stakeholder can reset a stalled conversation and create forward momentum.
Send this from a different email address. Keep it brief. Make it conversational. The objective is to generate a reply and restart the conversation.
